Who processes your information?
Puddleduck Preschool is the data controller and processor of personal information which you provide us with.  This means that Puddleduck Preschool determines what data needs to be processed and in what manner relating to Puddleduck Preschool children and their families.  Claire McDougall acts as the representative for Puddleduck Preschool with regard to its data controller and processor responsibilities.  Claire McDougall can be contacted on 07470223261.
In some cases your data will be outsourced to a third party processor; however, this will only be done so with your consent, unless there is a legal requirement that the school has to share data.  Where Puddleduck Preschool outsources data to a third party processor, the same data protection standards that Puddleduck Preschool upholds are imposed on the processor.
Claire McDougall is the Data Protection Officer (DPO) and can be contacted on 07470223261, and in her absence Natalie Edwards will stand in as the DPO contacted on 07849636073.  Claire McDougall’s role is to oversee and monitor the schools data protection procedures, and to ensure they are compliant with the GDPR.  You can also contact the Data protection Officer at account@puddleduckpreschool.co.uk or in her absence tilly@puddleduckpreschool.co.uk
Why do we collect your information?
Puddleduck Preschool holds the legal right to collect and use personal data relating to children registered at Puddleduck Preschool and their families, and we may also receive information regarding them from their previous childcare setting and/or Local Authorities.  We collect data and use personal data in order to meet legal requirements and legitimate interests set out in the GDPR and UK law.
 
The personal data of children and their families is collected and used for the following reasons:
  • To enable us to contact parents during the time they are in our care
  • Monitoring children progress
  • Provide the care and support the children require
  • To comply with the law regarding data sharing
  • To safeguard our Puddleduck children
  • To assess the service we provide
 
What data do we collected?
Puddleduck preschool collects and holds (some of which is shared) the following information:
  • Registration forms, which include the following information:
  • Personal information – children/family names, contact numbers, addresses
  • Emergency contact information
  • Relevant medical information
  • Characteristics – ethnicity, language, nationality
  • Health and development
  • Professional involvement relevant to the Preschool
  • Parental permission – emergency treatment, relevant medical administration, nappy cream application, sun cream application
  • Information relating to SEND
  • Behavioural information
  • Photography consent giving individual permission for the following:
  • Use of photos on website (no names used)
  • Photos used in the local media
  • Photos for Puddleduck Preschool prospectus
  • Photos used in promotional material, including posters, flyers and brochures
  • Photos uploads onto facebook in a closed group for parents only
  • Identification – birth certificate (and in some cases passports)
 
How long is your data stored for?
All personal data which is stored relating to Puddleduck Preschool children and their families is stored in line with the Preschool’s GDPR Data Protection Policy.
In accordance with the GDPR, Puddleduck does not store any personal data indefinitely; data is only stored for as long as is necessary to complete the task for which it was originally collected or to comply with statutory requirements.
 
Will my information be shared?
Puddleduck will not share your personal information with any third parties without your consent, unless we are legally required to.  Puddleduck preschool may from time to time share information with the following:
  • Local Authority
  • Tapestry – online learning journal
  • Babysdays – online learning journal
  • Famly – online learning journal
  • Health visitors & health professionals
  • School photographer
  • Child/ren’s School or preschool in which the child/ren will be attending after Puddleduck Preschool
  • School website
  • Facebook closed group
  • A voluntary parent WhatsApp group
 
Why we share children’s information
Puddleduck preschool does not share information to a third party without your consent, unless we are legally required to and our policies allow us to do so.
Parents and children have the following rights in relation to the processing of their personal data.
You have the right to:
  • Be informed about how Puddleduck Preschool uses your personal data
  • Request access to personal data that Puddleduck Preschool holds
  • Request that your personal data is amended if it is inaccurate or incomplete
  • Request that your personal data is erased where there is no compelling reason for its continued processing
  • Request that the processing of your data is restricted
  • Object to your personal data being processed
Where the processing of your data is based on your consent, you have the right to withdraw this consent at any time.
 
If you have any concerns on how Puddleduck Preschool collect and use your data you can raise concerns with the Information Commissioner’s Office (ICO).  The ICO can be contacted on 0303 123 1113, Monday – Friday 9am – 5pm.

By accepting this permission I declare that I understand the following:
  • Puddleduck Preschool has a legal and legitimate interest to collect and process my personal data in order to meet statutory requirements
  • How my data is used
  • Puddleduck Preschool may share my data with the Local Authority
  • Puddleduck Preschool will not share my data with a third party without my consent, unless they are required to by law
  • Puddleduck Preschool will share the data with the named third parties in this document, and where appropriate, I give my consent for this
  • My data is retained in line with Puddleduck’s GDPR Data Protection Policy
  • My rights to the processing of my personal data
  • Where I can find out more information about the processing of my personal data
